However, if you find yourself planning a group trip that goes through any of the DC-area airports and need to arrange ground transportation for your departure or arrival (or both!) Each airport has a curbside zone at the departures level where your bus rental can park while your group unloads directly onto the sidewalk. We recommend adding an extra hour (or two, if you’re traveling during a major event or busy season) to your itinerary to allow for traffic and group management.
If you’re planning a pickup, we’ll work with you to ensure you and your group are prepared for traveling at the airport you’re arriving at. Charter buses are not allowed to idle or wait at the curb at any DC-area airport, so your driver will wait at a cell phone lot or nearby staging area.
Only when your group has deplaned, gathered all of their baggage, and are near the loading area ready to board should you or a group leader call your driver to come pick you up at your exact location. Otherwise, airport police will wave off or even ticket a bus that is waiting at the curb for more than a few minutes.

There are three airports in the Washington DC area that your group travel plans can involve:
Located in Arlington, VA, many domestic flights fly in and out of Ronald Reagan Washington National Airport. This airport has close proximity to downtown DC, so you can hit the ground running if you’re planning a pickup or drop-off here.
Due to the airport’s curbside congestion and tight lanes can make it difficult for a charter bus service, but it’s definitely possible with the right plan. DCA specifies the pickup location for shuttles and charter buses at the lower level (Arrivals/Baggage Claim) outer curbs.
Drop-off Location: Departures Level curb
Pickup Location: Lower Level Arrivals, outer curb
There is no on-site staging option for private charter bus rentals at Ronald Reagon airport, and the Cell Phone Lot has a strict under-8-foot height restriction that can’t accommodate your bus rental. Instead, there are a few common staging areas that are a few minutes away, like near the Pentagon City Mall and at Gravelly Point Park. However, if a driver needs a guaranteed, legal, long-term parking spot because your fight is delayed, they can use a designated charter bus facility at Union Station or RFK Stadium.
If you’re arriving or departing on an international flight, Washington Dulles International Airport is where your group will be traveling through. This airport is located about 26 miles west of Washington DC, and traffic can affect travel plans in and out of the city—so it’s a good idea to include extra time in your itinerary when organizing a drop-off for departure.
There are official directions for private charter services at Washington Dulles International Airport, and includes instructions for pickup, drop-off, and staging. All charter bus staging is legally mandated to the Cell Phone Lot located at the corner of Autopilot Drive and Rudder Road, which can be accessed via the Aviation Drive exit.

Baltimore/Washington International Airport is located just outside of Baltimore, MD, (about 35 miles northwest of DC) but is a common arrival/departure airport for groups traveling with airlines like Southwest and Delta. BWI’s directions for off-airport shuttles designate Zone 4 at the arrivals level for pick-up, and the commercial vehicle spots on the outer curb lanes at the departures level for dropoff.

Pickup Location: Arrivals Level, designated Zone 4
Staging/Waiting Area: Commercial holding yard
There is no on-site staging area for a charter bus rental, so your driver will likely wait nearby at a commercial vehicle staging zone or circle the access roads until you call for pickup. Plan for around 10 minutes between the time you call your driver and when they arrive.
